Note: This information applies only to currently scheduled presentations. The Conference schedule is full, and we do not plan to add any new platform or poster presentations to the schedule.

 

Presentation Materials. As you prepare your presentation, please refer to the information sheet you received with the November 20 placement notification letter. Copies of the information sheets can be printed at the following links.

Presenter changes and updated abstracts provided to us by April 26 were reflected in the Final Program and the abstract collection. If it becomes necessary to either change the presenter or to withdraw the presentation from the program, please send an e-mail to chlorcon@battelle.org or call 614-424-7866 immediately. Failure to inform us promptly that a presentation is being withdrawn will be a negative factor when decisions are made on acceptance of abstracts for future conferences.

 

Approximately 400 PowerPoint presentations will be given at the Conference. All must be loaded and tested in advance of the sessions. Therefore, platform speakers are asked to submit their PowerPoint® files by Friday, May 14.

 

Conference Proceedings

All presentations given at the Conference will be represented on the proceedings CD. Each platform and poster presenter was invited to submit a short paper expanding upon his or her presentation. Although proceedings papers were due March 15, late submissions of papers will be accepted through June 15. For presentations for which no paper is submitted, the one-page abstract used in the abstract collection distributed at the Conference will be included in the proceedings. After the Conference, the papers and abstracts will be compiled along with the platform presentation files and published as an indexed, searchable compact disc. Copies of the CD will then be mailed to each of the estimated 1,600 technical program registrants.

 

If you previously decided not to submit a paper, we hope you will reconsider. A paper will provide a more substantive permanent record of your work than would the abstract. Battelle is not requesting exclusive rights that would preclude your submitting it to a journal or another publication; instead, the Contributor’s Agreement covers only permission to include your paper in the Conference proceedings and any reprints thereof. PowerPoint® File (Platform Presentations Only)

Files are to be uploaded by Friday, May 14, via the link that appears below. Each platform session room will be equipped with a PC running MS Windows®7 and supporting PowerPoint® 2007 and earlier versions, a high-intensity digital projector, and necessary peripherals. Note: No Internet connections will be provided in the session rooms or the speaker ready room.

 

Please review the following before submitting your file:

  • Presentation files must be in PowerPoint® 2007 or an earlier version. Macintosh versions of PowerPoint, other presentation software, and PDF files will not be supported.
  • Remember that you will have 18 minutes for your prepared remarks, followed by a 5-minute Q&A. In general, 20 to 25 slides is the maximum number that can be used effectively for an 18-minute talk. Please rehearse your talk with the slides to check the timing before you submit the file.
  • Please be careful using animation features (e.g., slides that build images in multiple steps or layers). Files using such features may run slowly, possibly keeping you from completing your presentation within the time available.
  • If you plan to use a video clip (.mpg or .avi) with your PowerPoint file, please prepare the file to be run on Windows Media Player® (not Real Audio®). Because PowerPoint does not embed movies in the presentation file, submit the video clip as a separate file, using the same upload process and at the same time as the PowerPoint file. See the next paragraph for information on naming video clips. It works best if movies are set to automatically play in the presentation.
  • When designing your slides, please keep the following points in mind to ensure that everyone in your audience can see the slides no matter where they are sitting in the large breakout room. Use large type (at least 24 point) and select a color scheme that provides maximum contrast and visibility—light text on a dark background or dark on light. A dark background in a cool color (e.g., blue or green) with yellow or white type works well. Select only the most relevant information and carefully restrict the amount of text and complexity of drawings and tables. Avoid using large headers and footers (e.g., company logos) because they will distract attention from the content of the slides.

 

The file name of the PowerPoint file must be constructed as follows:
Chlor#[abstract number][presenter’s last name]

The abstract number was provided in the November 20 placement notification letter and the April 20 final scheduling information letter. The first portion of the file name for video clips should match the name of the PowerPoint file. For example, the PowerPoint file for abstract number 998, to be presented by someone whose last name is Jones, would have the following file name and extension: Chlor#998Jones.ppt. A movie file that would be used with it would be named Chlor#998JonesMovie.mpg.

 

When the file is ready for upload, proceed to the PowerPoint upload site. Up to 3 files may be sent at one time. The person sending the file(s) will receive an e-mail from the file transfer application that confirms receipt. No additional confirmation will be sent. However, if we find any functionality problems that need to be addressed, the scheduled speaker will receive an e-mail within three working days.

 

If it becomes necessary to revise the content of a file after it is submitted, you may either resend it through this procedure or submit the revision after you arrive at the Conference. The revised file should have the same name as the original, except that”AuRev” should be added to the file name (e.g., Chlor#998JonesAuRev.ppt); a second revision should have “AuRev2” in the file name.

 

In addition to uploading your file, be sure to bring a backup copy of the file with you to the Conference.
